Cloud Seven: Ricoh scan to email fails for the Google Workspace addresses

Description

Part of #566 (Secure Inside hand-over). Venue: cloud-seven.

Problem

Scan to email does not work with Cloud Seven email addresses, which are Google Workspace accounts.

Two suppliers have looked at it and point at each other:

  • Ricoh identified the network as the potential cause.
  • Secure Inside confirmed there was no network issue.

The issue is unresolved. The venue doc lists it under the urgent September needs.

Request

Investigate and propose a solution. This one needs a single owner who can test both sides, because neither supplier will.

Likely cause, to check first

Google Workspace no longer accepts basic username and password SMTP. A Ricoh MFP scanning to a Google address normally needs one of:

  • SMTP relay through smtp-relay.gmail.com with the device IP allow-listed in the Workspace admin console, or
  • an app password on a dedicated service account, where the account allows it, or
  • OAuth 2.0 on the device, where the Ricoh firmware supports it.

Confirm which the device firmware supports before touching the network.

Also check

  • Whether the device can reach the relay at all from its VLAN. See #553 on Cloud Seven network hygiene.
  • Whether the sender address is rejected by SPF or by Workspace routing rules.
  • Whether scan to a non Google address works, which separates the network question from the mail question.
